Shokall Property (“we”, “us”, “our”) is the data controller for the purposes of UK data protection law.

2) What data we collect
- Identity & contact: name, title, DOB, address, email, phone.
- Property details: property address, ownership info, marketing photos/floor plans/EPCs.
- Transaction data: offer details, price/rent, negotiations, completion/tenancy dates.
- Referencing & compliance (lettings/management): employment details, salary, right-to-rent docs, previous landlord refs, credit/CCJ info (from credit reference agencies), AML/KYC data, ID docs.
- Payments: bank details for rent collection, client money payouts, refunds.
- Communications: emails, call notes, viewing feedback, complaints.
- Marketing preferences and subscription choices.
- Technical/cookie data: IP, device/browser, pages viewed, referring URLs (see Cookies).
We do not intentionally collect special category data. If you share it, we’ll process it only when strictly necessary and lawful.
3) How we collect data
- Directly from you via forms, emails, calls, viewings, valuations, portal enquiries.
- From third parties such as property portals, referencing/credit agencies, AML providers, Land Registry, Companies House, previous landlords/employers (with consent), and website analytics providers.
4) Lawful bases for processing
- Contract: arranging viewings, sales, tenancies, management and payments.
- Legal obligation: AML/KYC, Right-to-Rent, tax/accounting, deposit registration, safety records.
- Legitimate interests: service operation, records, fraud prevention, relevant updates about similar services (opt-out anytime).
- Consent: optional marketing and certain cookies/analytics.
5) How we use your data
We handle sales and lettings processes end-to-end, customer support, marketing (where permitted) and compliance. We do not use automated decision-making that has legal or similar significant effects.
6) Sharing your data
We share only what’s necessary with:
- Professional partners (referencing/credit agencies, AML providers, deposit schemes, inventory clerks, contractors, assessors, photographers, board installers, utility switch providers where agreed).
- Financial/operational services (payment processors, banks, accountants, insurers, auditors).
- Technology vendors (website host/CDN, CRM, email/SMS providers, cloud storage, e-signature tools, analytics).
- Authorities (HMRC, local authorities, ICO, courts) where required by law.
- Others at your request (your solicitor, broker, guarantor, employer referee).
We require our processors to protect your data and use it only under our instructions.
7) International transfers
If data is processed outside the UK, we use adequacy regulations or appropriate safeguards (e.g., UK IDTA/Standard Contractual Clauses).
8) Data retention
- General enquiries: up to 2 years after last contact.
- Sales files / AML: 5 years after relationship or transaction (MLR 2017); some records 6–7 years for tax/accounting.
- Lettings/management: 6 years after tenancy end (longer if a dispute/claim).
- Marketing preferences: until you opt out.
We may retain minimal suppression data to ensure we don’t contact you again if you’ve opted out.
9) Your rights
You can request to access, correct, erase, restrict or object to processing, and request data portability (in certain cases).
10) Marketing
We send marketing only with consent or where permitted under legitimate interests. You can opt out at any time via unsubscribe links or by contacting us. We do not sell personal data.
11) Cookies & analytics
We use cookies and similar technologies to make the site work, remember preferences, analyse performance, and (if enabled) personalise content/ads. Manage your choices via our cookie banner or the links below.
12) Security
We use technical and organisational measures (encryption in transit, access controls, staff training, vendor due diligence) to protect your data. No system is 100% secure, but we work to minimise risks.
